For Housing Providers & Caseworkers

Updated · Reviewed against current HUD program rules

One private case link connects a voucher holder to the people helping them. Caseworkers verify the voucher; property managers track the application - all on the same case.

It is free, it is not a government service, and you only ever see what the applicant chose to share.

SubsidizedHousing.org is a private, independent service - not a government agency, and not affiliated with HUD, a public housing agency, or any property.

Creating an account is not an application for Section 8, a voucher, public housing, or any waiting list, and it does not determine your eligibility or add you to a list. What it does do: help you find the housing authorities (PHAs) in your area and save the applications you submit, so you can track them in one place. To apply, go directly to the PHA or the property; applying is always free.

Who this is for

Three roles use the same case system - pick yours:

  • Housing authority (PHA) staff - confirm a household's voucher and mark the case agency-confirmed.
  • Navigators and social workers - guide applicants, post updates, and request documents securely.
  • Property managers and owners - track applications, update status, and see which vouchers are verified.

How registration and agency verification work

Agency accounts are gated so only approved organizations can claim cases:

  • Sign up with a professional email - free providers such as Gmail and outlook are not accepted for agency accounts.
  • .gov and .mil domains are approved instantly; other organization domains are reviewed by our team, usually within a few days.
  • Once approved, every co-worker on that email domain joins the same agency, so cases stay with the team if someone leaves.

What you can do on a case

  • Open a shared case with one click - no spreadsheet required.
  • Verify a voucher's valid-until date and service area to add the agency-confirmed badge.
  • Update the application status: received, under review, approved, waitlisted, declined, or housed.
  • Request documents securely (PDF or image, max 5 MB); only verified participants can view them.
  • Every status change is time-stamped on the case activity feed, so there is a clear record for everyone involved.

See how a case moves

Every case follows the same path. Tap a stage to see what each role does.

Case created

The applicant answers a short questionnaire and SubsidizedHousing.org creates one private case link.

  • Applicant: creates the case and gets a single link to share - no forms to repeat.
  • Caseworker: opens the link and joins as a caseworker / housing authority.
  • Property manager: opens the same link and joins as a manager.

Voucher approved

A caseworker or housing authority confirms the household's voucher.

  • Caseworker: confirms the valid-until date and service area, so the badge becomes agency-confirmed.
  • Property manager: sees the verified badge before spending time on the application.
  • Applicant: the trust label on their case updates automatically.

Application received

The property manager accepts the case and it routes into their lead inbox.

  • Property manager: sets the first status - received.
  • Caseworker: sees the status change on the case activity feed.
  • Applicant: watches the journey stepper move forward.

Under review

Documents are checked - securely, in one place.

  • Property manager: requests proof of income or ID with "Request more information".
  • Applicant: replies and uploads documents (PDF or image, max 5 MB).
  • Only verified participants can ever view or download those documents.

Approved

The application is approved and the applicant is cleared to move.

  • Property manager: sets approved; the change is time-stamped on the activity feed.
  • Caseworker: confirms the agency-verified voucher is still valid for the service area.
  • Applicant: sees the approval on their dashboard.

Housed

Move-in completes the journey - and a follow-up checks the placement holds.

  • Property manager: marks the case housed and logs a structured placement follow-up.
  • Caseworker: sees the case complete and the follow-up outcome.
  • Applicant: can undo a mistaken "housed" and return to searching on the same case.

Frequently asked questions

What is a housing case link?
An applicant on SubsidizedHousing.org creates one private link per household and shares it with the people helping them. The link is token-protected and never indexed. It shows the household's stated needs and a trust label for their voucher, including income only if the applicant enabled income sharing. It never shows voucher numbers.
I got a case link and I'm new here. How do I join?
Open the link and choose your role - caseworker / housing authority or property manager - or log in if you already have an account. Provider signup takes about a minute (agencies need a professional email), and you land straight back on the case you were sent.
I'm with a PHA or navigator agency. How do I claim and verify a case?
Register with a professional email and wait for your agency to be approved (a few days at most; .gov/.mil emails are instant). Then open the case link, and the claim form appears. You confirm the voucher's valid-until date and service area; that records the household as agency-confirmed, which signals to property managers that the holder is verified.
I'm a social worker. Can I use this too?
Yes. Register as a social worker with your organization email, get your agency approved, and you get the same claim-and-verify tools as PHA staff. You can also list yourself as the household's worker contact on the voucher so property managers know who to reach.
I'm a property manager. What can I do on a case?
Log in and you can update the application status (received, under review, approved, waitlisted, declined), post updates or requests for information, and see whether the household's voucher has been verified by an agency. Updating a status assigns the case to your property.
What does 'agency verification' mean and why does my whole team need it?
Once your organization is approved, the email domain is added to your agency. Any co-worker who signs up with that domain automatically joins the same agency and can see and work its cases - so if someone leaves, the cases stay with the agency and the next person can pick them up instead of starting over or losing access.
Is SubsidizedHousing.org a government website? Is there a fee?
SubsidizedHousing.org is an independent, privately operated service - not affiliated with HUD or any housing authority. The Case Hub is free for applicants, agencies, and property managers, and we never sell applicant contact information. Organizations that need custom integrations, dedicated implementation, or ongoing operational support can work with our team by agreement - contact us to discuss your requirements.
What do I see about the applicant, and what do they see about me?
You see only the needs, trust level, and any income the applicant volunteered. Your agency name appears on the case as verifier. The applicant never sees your personal details you haven't written into a note - and case pages never carry voucher numbers or identity documents, and show income only if the applicant enabled income sharing.
